Important Notes

  • Early bird registration deadline: 10 November 2025
  • Regular registration deadline: 22 November 2025
  • At least one author must register for each accepted paper to be included in the proceedings.
  • Onsite registration includes conference materials, access to all sessions, coffee breaks, lunches, welcome reception, and conference dinner.
  • Online registration includes access to the program and conference materials.
  • Pro-forma invoices are available upon request; official e-receipts or tax invoices will be issued after payment clears to the organizer’s account or gateway.
  • Invitation letters for visa applications will be issued only after full payment is received. If a visa is refused, registration will be switched to online participation. Processing and courier costs are non-refundable.
  • If payment is not completed by the early-bird or regular deadline, the organizer may cancel the registration or apply the next-tier rate. Access materials (badges, kits, and certificates) may be withheld until full payment is confirmed.
  • All payments made are final and non-refundable under any circumstances.
  • All fees are set in USD. Any bank, intermediary, or e-wallet charges are borne by the payer. Underpayments due to bank fees or exchange differences must be settled before conference access or proceedings release.
  • Data Privacy: Payment data are processed by authorized bank/e-wallet/card gateway providers for billing, audit, and compliance.
  • Force Majeure: In case of unforeseen events (e.g., pandemic, natural disaster), registrations will be carried over and adjusted accordingly.
  • Governing Law: These terms are governed by the laws of Indonesia, with the venue for any dispute in Bandung, Indonesia.

Registration Process

  1. Download and complete the registration form here
  2. Pay using one of the available methods:
    • Bank Transfer (Wire/TT) - via secure card gateway
    • Indonesian E-Wallets (QRIS) - OVO, GoPay, DANA, LinkAja
    • International Credit Card - for overseas participants
  3. Email the completed form and payment proof to icot2025@ideas-lab.org (include your name and paper ID)
  4. You will receive a confirmation email with your registration details
  5. For onsite participants, collect your conference kit at the registration desk
